Job description
We are looking for an experienced operations professional who can help us build structure, improve internal processes, coordinate a small administrative team, and solve operational challenges as our organization continues to grow.
This is a hands-on, office-based role focused on process improvement, team coordination, operational ownership, and supporting the transition into our new Belgrade office.
Responsibilities:
Lead and coordinate a small administration team (three administrative operations managers, three executive assistants to C-suite leadership).
Distribute workload, set priorities, and help the team stay organized.
Review existing processes and identify areas for improvement.
Create structure, documentation, and clear ways of working.
Support office operations and workplace-related projects.
Coordinate vendors, suppliers, and service providers.
Partner with HR, Finance, IT, and leadership teams on operational matters.
Help improve onboarding, offboarding, travel, equipment, and administrative processes.
Introduce automation and efficiency improvements where appropriate.
Support the growth and development of the administration function.
Job requirements
4+ years of experience in Operations, Administration, Project Management, HR Operations, Workplace Operations, or a similar role.
Experience in tech, digital, startup, AI, or international companies.
Previous experience leading and coordinating a team.
Strong organizational and problem-solving skills.
Experience improving processes and bringing structure to day-to-day operations.
Ability to work independently and take ownership.
Comfortable working in a fast-paced international environment.
Fluent English and Serbian
