Job description
Plan and execute 27-30 internal off-sites and activations annually, ranging from small team gatherings to large leadership events
Research, evaluate, and contract vendors, venues, and activity providers for team-building experiences and event programming
Negotiate hotel contracts, including room blocks, catering, meeting spaces, and event logistics
Organize and coordinate transportation and transfers, including airport pickups, group transportation, and travel logistics
Manage communication and coordination between Admin, Marketing, People Partners, and leadership teams involved in each event
Oversee event timelines, logistics plans, and execution checklists to ensure smooth delivery
Manage and optimize budgets for events, activities, travel logistics, and vendor services
Identify creative team-building activities and experiences aligned with AI Digital’s culture and brand
Handle unexpected operational issues and last-minute changes during events (travel disruptions, schedule changes, vendor issues, etc.)
Maintain vendor databases, event documentation, and planning templates for future events
Job requirements
3–6 years of experience in event management, corporate events, activations, or hospitality operations
Proven experience in planning and executing multi-location corporate events or off-sites.
Strong vendor sourcing and negotiation skills
Experience managing event budgets and financial tracking
Exceptional organizational and project management skills
Ability to coordinate across multiple teams and stakeholders simultaneously
Fluent English (C2) and Russian (C2) with strong written and verbal communication skills
Ability to remain calm under pressure and solve operational issues quickly
